People: Manage, Import, Export & Create Accounts

Objective

To detail how you can manage, import, export, and create accounts in the Dashboard People section.


People interface is set up to help you Manage, Import, Export and Create Accounts.



Manage People

All People records are listed here in the Manage People section.

People records can be added manually, imported in bulk, or synced.


At a glance Peoples' Names, Usernames (Email), Sites, Account Types, App Roles, Identities, Grades, and Last Logins are detailed.

Here you can add an individual New person record by selecting '+ New' on the right side.
Important Note - New people records should include First and Last Name, Email, a Connected Account and App Role, and Identity, and, optionally, Dashboard access (for Administrators and Teachers).

On the far right side of the Person records, you can see if they are Synced or Dashboard Users, also Resend Invitations to the App or Password Reset Instructions, Edit, and Delete.

Selecting the pencil icon opens the person record and allows you to make Edits.


In the different tabs at the top, you can Edit a persons' Primary Details, Account settings, Identities, and Relationships.


Import

Import is where you can Import People, Import Relationships, and Upload Images.



Import People is a tool to add people in bulk to create People records automatically.

The sample spreadsheet (.xlsx) is provided and requires the fields for Email, First Name, Last Name and Identity to be filled in.



Below the File Format Information you will find the formatted spreadsheet:


Simply enable editing and fill in all of the required fields, and any you want to use.



Leave all unused fields blank and Save.

Then just drag and drop or browse to add the spreadsheet file.



If any invalid records appear in the popup that comes up once you upload the file.
Check the file and correct any missing information, or click continue and review the errors.

Select the Settings:



If you want to create App or Dashboard Users, the option to select their Role will appear below. (Student / Staff: Teacher, Administrator, or Other Staff)

If there are 0 invalid records, and you have selected the Settings desired for the Import, press Continue to review the People Import and then Import.

Once the Import is finished running you will receive a notification in the top right hand corner of the Dashboard.


Import Relationships provides the option to import relationship data to relate parents or guardians to students.

Similarly to People Import, you can download the sample spreadsheet to input the data.

The required fields are Parent / Guardian Email, either the Student Email or Student ID, and the Relationship Type (Parent, Aide, Guardian, Relative, or Other).


Upload Images provides a place to add images to the People records of Students and Staff using their corresponding Student IDs or Employee/Staff IDs to match them.



Export

Export is where you can Export People or Relationships.




Export People is where you can export all people records, or export a specific Identity:



Additional Options are available for export.
The fields listed below cannot be reimported and if they are present, as stated below, will be disregarded.



Export Relationships is where you can export all relationships in the district (or school, if not a district).



Selecting 'Extended' will have the export include all identifiers for the Parent / Guardian and Student.



Create Accounts

Create Accounts enables quick and simplified App Account creation for a single user, or for multiple people at a time without having to use the Import spreadsheet and function.



1 ) You can select + Create Accounts for new People

In the Settings select if you would like them to be:
-Protected (unable to be overwritten by a sync or import)
-Do not publish (they will not be visible in Manage People)
-Overwrite existing people (replace people records for those included)

Select the Invitation Settings to either Send Now, Schedule for Later which will then provide a screen to schedule, Set Password(s), or No Invite.

Input their First Name, Last Name, Email, Identity, App Access Role, Account Type (which is Dashboard Access Account Type: Admin, Teacher, Reviewer, and Reporter), and Additional Sites (if applicable / multisite).

Then select Create Accounts.









*For any additional information to be added to the newly created Accounts / People records, you will need to go to Manage People and edit their person record.
Additional information including Pin, Departments, Titles, ID, etcetera.

We recommend creating new person records via Manage People for individuals or Import for bulk people record creation to include additional details.

OR

2) Create accounts for existing people records below

Filter to find the person or people record(s) you are wanting to create an Account(s) for.

You can then select the Account Type you are wanting to create.

If you are creating accounts for multiple people, select the Account Type on the first record and then select Set All.
Set All makes all selected people records become that Account Type.



Additional information includes: Identity, App Access Role, Account Type (which is Dashboard Access Account Type: Admin, Teacher, Reviewer, and Reporter), and Additional Sites (if applicable / multisite).

After getting the Account Type selected and any other information entered, select 'Create Accounts'.

Then you will see this confirmation screen, which includes important information:
